How to Include All Employees in a Group

A common case is wanting a group to contain everyone on the platform, sometimes with a small handful of named people kept out. The Include all employees checkbox is the quickest way to set this up.

This is useful when you want to roll out a campaign to the entire company, or assign a training to every employee on the platform.

 

Including All Employees

  1. From the sidebar, under USER MANAGEMENT, click Groups.

  2. Open the group you want to update.

  3. In the Members section, click + Set criteria.

  4. At the top of the screen, check Include all employees.

  5. Click Save.

Every active and pending activation account on the platform is added to the Members list. The criteria fields below are disabled, since "all employees" already covers everyone.

Archived accounts are not included. If an account is later unarchived, it will only appear in the group if Add matching users automatically in the future is on.

 

Keeping It Up to Date for New Employees

By default, Add matching users automatically in the future is on, which means new employees added to the platform are picked up automatically, and archived employees are removed automatically.

If you leave this unchecked, only the employees who are active or pending activation at the moment you save will be added. Anyone activated after that point will not be picked up, and anyone archived after that point will stay in the group's Members list until you save it again.

 

Excluding Specific People

You can still exclude specific named users from an "all employees" group. Use + Manual exclude in the Excluded users section. See How to Exclude Users from a Group.

This is the standard pattern for "everyone except a small handful." Turn on Include all employees, then exclude the named people who should not be in the group.

A Note on Active Campaigns: If the group is the recipient of an active campaign with a welcome email, the welcome email will fire for every employee in the group when the campaign is launched. With Add matching users automatically in the future turned on, the welcome email will also fire for any new employee added to the platform afterwards. Think carefully before attaching an auto-updating all-employees group to an active campaign.
