Exporting Records

Overview

At times, you may need to export a set of records from the GAN Integrity application. This can be accomplished via the Export as CSV option available on any record list.

 

Enabling Record List Exports

The Export as CSV option is available to any user who has the Export to CSV privilege for that record type.

Preparing the data for export

The amount of records that can be successfully exported in one go is highly variable, based on the amount and complexity of the data on the records. Therefore, the amount you can export is generally dependent on both the number of records, as well as the amount of data you choose to include.

A maximum cap of 50k records is in place as exports over this size will typically fail. Exports under this amount will often be successful, but cannot be guaranteed. Therefore it is advised that you use filters to reduce the record set to exactly those that you need to extract, and that you include only the columns / data points that are relevant for your work.

To refine the content of the export, use the Display Settings options and/or any of the filtering options indicated below:

The export will default to exporting only the records included by any filters you have applied, and to only including the data shown on the screen, so using the available options to reduce the content of the export sets you up for success.

 

Initiating the export

When you are ready to export, click the Export as CSV button (indicated via the download icon).

The export will default to including all records in the current table, and all data shown in the table. However, selection options are available for you to add additional records and/or additional data points to the export.

  • Include standard fields not in this view: Standard fields are those that are not system-generated and are not hidden (see below for more information on system fields and hidden fields). All standard fields shown on the record list (i.e. the underlying table) are automatically included in the export, however there could be additional data fields available on the records that are not shown in the table. Checking this option means all standard fields are included in the export.

  • Include all system fields: System fields are those that are written automatically by the system and cannot be edited, such as Created By, Created Date, ID, etc. All system fields shown on the record list (i.e. the underlying table) are automatically included in the export, however there could be additional system fields that are not shown in the table. Checking this option means all system fields are included in the export.

  • Include hidden fields: Some fields may be used for internal routing and/or external data analysis, but are not relevant to be shown in the UI - these are configured as hidden fields and are generally not relevant for export unless the target of the export is an external analysis tool.

  • Include email addresses: If selected, this option will add an additional column in the export for each user field included in the export, populating with the email address of the named user.

  • Rows to include: “Matching applied filters” is selected by default, meaning that the export will only include records matching any filters currently applied in the underlying table. If you wish to disregard the filters and export all records in the table, choose the “All rows” option instead.

  • Email: Checking this option sends you an email with a link to access the export.

When you have specified the data to be included, click the Export button to start the export.

Once the export has been initiated, you are free to continue your work elsewhere in the system and will receive a notification in the Notification Center when it has completed. If you choose to wait in the confirmation dialog, the export will auto-download as soon as it completes.

 

Accessing the export

When the export completes, a notification is posted in the Notification Center.

Clicking the card / notification entry navigates you to more information about the export.

You can see a summary of the export, the scope of it (e.g. what filters were applied, if applicable), and can download the file.

Note that the Download option is valid for 7 days. If you are attempting to download a file that was generated more than 7 days ago, you are informed that the link has expired and are prompted to start a new export.

If the export encountered errors, the notification card would indicate that the export did not complete and any information about the errors and/or how to resolve them would be displayed in the details page.

If you opted to receive the export via email, you will be emailed a link that will navigate you to the details page for the export, with the same information and options described above.
