Clients can manually add, update or archive (deactivate) users directly in the GAN platform and thus these users are immediately introduced to (or removed from) any applicable compliance processes.
Introduction
By having the Feature Flag (FF) to manually create users switched on, users with the Compliance Manager role can create, update, and archive users as needed. Your CSM contact at GAN can facilitate this feature for you.
If you are using the CSV Import process or User API, any subsequent actions may potentially overwrite desired changes, so it is always recommended that the source data (e.g., payroll or HR System) is aligned with the user information shown in the GAN platform.
Method - Add
1. Select Employees from the sidebar under User Management
- The Employee Overview dashboard will show you:
- Number of active employees
- Number of pending employees (not activated yet)
- Number of archived employees
Based on your company settings and permissions, you will most likely see only employees under your remit, rather than global.
2. Click the Create button to add a user
3. To create an account, you will be shown mandatory information you must provide.
4. Pressing the Next button will take you to Custom Attributes, where you can set which business units they belong to and their access level. The number of roles you can assign depends on your platform setup, typically ranging from employee to compliance manager.
Method - Edit / Archive
1. Select Employees from the sidebar under User Management, and then click anywhere in the table on a row to view a user's profile details.
2. Click the pencil icon to Edit.
3. By clicking on the 'edit' button you are able to change any data related to that employee, including their permissions for access.
Additionally, if the employee has left, you can click 'Archive' to deactivate the account, whilst keeping their data for future reference.
Editing information such as names and emails will most likely be coming from a source system and its recommended to edit those via a bulk operation (such as CSV Import). However, the Roles field should be edited using the following process, which is a type-ahead menu and select/remove the roles that are activated within your instance.
