About campaign and task assignments

Campaign and task assignments are strictly connected to each other and to the single employee's account.

This article will shed some light on how the system ties the three components above (account, task, and campaign) and on the portal's logic.

NB: In the following sections we will mention IDs, please be aware that these are not visible from the portal, they are assigned by the system automatically and they are part of the coding of the GAN platform.

When campaigns, tasks, and accounts are added to the portal, they are automatically assigned IDs. Doing so allows the system to recognize them even if some details are changed (for example if an employee's name changes, the system will still be able to recognize that account thanks to its ID).

 

How does the task assignment work

As mentioned previously, when tasks are added to the system they are automatically assigned an ID. When a task is added to a campaign and the latter is published, the task's ID and the campaign's ID are tied.

Furthermore, in order to publish a campaign you will have to add a recipient group (to know more about how to add recipients to a draft campaign, please read here). This means that the campaign's ID will be tied both to the task's ID and to every account included in the recipient's group ID.

 

How does campaign assignment work

As mentioned previously, also campaigns are assigned an ID when added to the portal. This ID will be tied to every account in the recipient group when the campaign is published.

  ex. Jane Doe is assigned Campaign ID 123456 and Task ID 987654
   

By doing so, the account will be tied to the task (and vice-versa)

Assignment date

The assignment date shows when a task has been assigned to an employee.

To see when a task has been assigned:

  1. Select Employees from User Management from the sidebar 
  2. Search and select the employee
  3. In the account's details page, you will see the accounts details and the campaigns assigned to the employee
  4. For every campaign assigned to the employee you will be able to see the assignment date (Assigned: Month Date, Year Timestamp), please see the example below:

NB: If a task has been assigned multiple times to an employee (for example if the employee's account has been archived and unarchived), the assignment will reflect the latest assignment date.

 

Completion date

The completion date shows when the task has been completed.

To see the completion date of an employee :

  1. Select Employees from User Management from the sidebar 
  2. Search and select the employee
  3. In the account's details page, you will see the accounts details and the campaigns assigned to the employee
  4. For every campaign assigned to the employee you will be able to see the assignment date (Completed: Month Date, Year Timestamp), please see the example below:

NB: Only completed tasks will show a completion date and timestamp.

Tasks statuses

On the account's details page tasks can be marked as shown below:

These tasks have been assigned to the employee, who has begun to go through them but has yet to complete them.
