How to Import Users into the GAN Platform

Introduction

Managing user data can be challenging, but our CSV User Importer makes it easy to manage users in bulk. This guide will show you how to use the importer to add, update, and organize user data quickly and efficiently.

Whether you're onboarding new users, updating profiles, or adjusting access levels, our tool simplifies user management, saving you time and effort. Follow these steps to keep your user data up-to-date with ease.

Before you start 

  • The CSV Importer is for bulk uploading users into your GAN Platform.
  • Confirm you have the correct access; access is governed and requires the additional role of Compliance Manager or Identity Manager.
  • Access and gather your company employee data in an exportable data CSV data format.
  • Ensure all email addresses are lowercase, as your users may otherwise encounter access issues.
  • Confirm there are no duplicate user accounts.

DISCLAIMER: Providing client data in the correct formatting of the CSV template is very important. If the template is not formatted correctly, the upload will fail or result in user errors.

 

Step-by-Step Instructions

 

Navigating to the User Importer 

  1. All employee account uploads and ongoing user management edits are done through the Employees tab in the left sidebar under User Management. To begin, select User Importer from the ellipsis (three-dot) button.

2. Once the User Importer is selected, an overview of the details of the previously completed and ongoing Import Jobs will be shown.

To view previous job details, select the import name. 

    • Summary: Users added, Users updated, Users unarchived, Users archived
    • Important Details: Import type (Add and Update, …), Status (Completed, …), Created by, Creation date
    • Errors: No errors found - or - Detailed list of records that failed and for what reason. The most probable next step is to re-import these records or simply ignore them.

Beginning a New Import

  1. Select NEW IMPORT in the top right corner.

2. Complete Step 1 of Import Settings.

    • Download the CSV template (if needed).
      • CSV Template will/can contain:
        • Required System Employee Attributes: First Name, Last Name, Email, and External ID* (details below)
        • Company Specific Employee Attributes: Age (example) - can be required
        • Special: Roles (User / Employee - default, recommendation based on setup)
          • To see your company's attribute settings, select Attribute Settings from the ellipsis (three-dot) button on the initial Employees page.

    • Enter the desired Import Name.

    • Choose the Import Type.
      • Add and update users: Full Load ⇒ Check all. Delta Load with All attributes ⇒ Check "Unset attribute if left empty".

      • Archive users: Use this to update information about terminated employees - they will be archived and not available for login.

    • Select your preferred Notification setting.

*External ID Requirement: We recommend using External IDs as this addresses many challenges that have arisen when relying on emails for user IDs:

  • Email-based IDs can lead to errors and assumptions: They lack transparency and are prone to human error.
    • Mergers: Users often change email addresses, affecting large groups.
    • Name changes: Users may update emails due to marriage, divorce, or other reasons.
    • Naming standards: Organizations might update their email naming conventions.
    • Email re-use: Reusing emails, like hiring a new employee with the same name as a former one, can cause issues.

By using External IDs, our clients can manage user identification according to their organization’s conventions. This approach ensures transparency and allows clients to handle any changes effectively. Additionally, it simplifies integration through our User API.

If External IDs are not possible, you can use employees' individual emails as their External ID; just ensure all emails are lowercase in the CSV.

4. Flatfile functionality

    • Identify formatting errors, duplicates, illegal values, etc.
    • Allow you to edit on the fly
    • Allow you to restrict to erroneous or valid records
    • Remove invalid entries before proceeding
    • All of these are in a spreadsheet, user-friendly interface

 

Start Import

  1. A summary will be shown of what will be imported

2. Export Edited Data

    • Allows you to keep a copy of your final data that is imported
